A useful handover pack answers five questions: What was installed, where is it, how should it be maintained, who should inspect it, and how can the correct replacement be ordered? For pool fencing, the pack must also distinguish supplier documentation from any inspection or certification required for the completed barrier.

This handover checklist is for contractors transferring pool fencing hardware to property managers. Treat it as an information structure to adapt to the site, not a substitute for local pool-safety obligations.

Folder 1: the installed asset register

Give each gate and barrier section a location code. Record component models, quantities, finish references, drawing revisions and installation dates. Add a clear overall photograph and close-ups that show identifying features without exposing private access details.

Keep report numbers, issuing organizations, dates and scope visible. Do not rename a material certificate “pool fence safety certificate.” ASSDA’s grade-confirmation guidance helps distinguish alloy verification from other performance questions.

Folder 3: operation and maintenance

Folder 4: replacement and escalation contacts

List the installer, supplier and property manager’s responsible contact. Add purchase-order references and a clear route for reporting a gate or barrier problem. For an observed safety concern, the manager should follow the site’s access-control and repair procedures rather than wait for a routine procurement cycle.

A ten-minute acceptance meeting

Open one gate’s record with the property manager. Ask them to find the model, instruction sheet, last inspection and replacement contact. If those answers are hard to locate, simplify the pack before signing the information handover.

Does the pack certify the installation? No. Certification, where required, must come through the appropriate process and stated scope.

Should every product brochure be included? Include the relevant model documents, not an unfiltered catalogue that obscures the installed configuration.
